This Privacy Policy explains which data is processed when you use our website and our networking product EveLin AI.

EveLin AI is a digital networking system for events.

Participants can create a voluntary profile via a QR code in order to receive AI-supported recommendations about which other participants may be particularly relevant for conversations or networking.

Personal data is processed according to the principle of privacy by design and in compliance with applicable data protection laws, in particular the General Data Protection Regulation (GDPR).

3. Types of Data Processed

When using EveLin AI, the following personal data may be processed:

• name or self-chosen display name
• professional role or activity
• interests or topic areas
• networking goals (e.g. partnerships, exchange, customers)
• optional: voluntarily provided additional information (e.g. LinkedIn profile)

Participation and profile creation are voluntary.

4. Technical Access Data

When visiting the website, technical information may be collected automatically by the hosting provider. This may include:

• IP address
• date and time of access
• browser type and version
• operating system
• referrer URL

This data is processed exclusively for the technical security, stability, and error analysis of the website.

5. Purposes of Data Processing

Personal data is processed exclusively for the following purposes:

• providing the website
• creating a networking profile for event participants
• generating AI-supported networking recommendations
• displaying possible conversation partners during an event
• improving the functionality of the system

The data is not used for advertising, profiling for marketing purposes, or commercial disclosure to third parties.

6. Use of Artificial Intelligence and Matching Logic

To generate networking recommendations, EveLin AI uses algorithmic systems and AI models.

Important note on data processing in matching:

• matching is based on content-related information such as interests, needs, and offers
• personal identifying characteristics such as names or identifying clues are not included in the matching process
• processing for matching purposes is carried out in an anonymized or pseudonymized manner

The purpose is to suggest relevant conversation partners and generate suitable conversation starters.

There is no automated decision-making with legal effect within the meaning of Art. 22 GDPR.

7. Legal Basis for Processing

Personal data is processed on the basis of the user’s consent pursuant to Art. 6 (1) lit. a GDPR.

Consent is given through active confirmation (e.g. checkbox) before creating a profile or before using the matching function.

Consent can be withdrawn at any time with effect for the future.

8. Event-Bound Data Storage

Profile information entered in connection with an event is event-bound.

This means:

• the data is used exclusively to generate networking matches during a specific event
• no permanent storage as a user account takes place
• data can be deleted at any time

Personal event data is generally deleted no later than 30 days after the event, unless a statutory retention obligation applies.

9. Anonymized System Insights

To improve our system, anonymized and aggregated insights may be derived from the matching processes.

This may include statistical information such as:

• which roles are particularly often connected with each other
• which industries frequently interact with each other
• which matching criteria lead to successful conversations

This data contains no personal information and cannot be used to identify individual participants.

10. Use of Service Providers and Transfers to Third Countries

To provide our service, we use technical service providers, for example:

• hosting providers
• cloud infrastructure
• AI and API service providers

Data may be transferred to countries outside the European Union (e.g. the USA).

In such cases, transfers take place only in compliance with legal requirements, in particular through:

• Standard Contractual Clauses (SCCs)
• appropriate technical and organizational measures

11. Disclosure of Data

Personal data is generally not disclosed, except:

• to technical service providers required to provide the product
• where there is a legal obligation

Personal data is not commercially disclosed or sold.

12. Retention Period

Personal data is stored only for as long as necessary to use the product.

Event-related profile information is generally deleted no later than after 30 days.

Anonymized statistical insights may be stored permanently because they do not relate to any person.

You have the right at any time to:

• access information about your stored data
• rectify inaccurate data
• erase your data
• restrict processing
• data portability
• withdraw your consent
• lodge a complaint with a data protection supervisory authority

We use appropriate technical and organizational measures to protect your data against loss, misuse, and unauthorized access.
